Sharing Dashboards
Section titled “Sharing Dashboards”One of the most powerful features of Querri dashboards is the ability to share your insights with others. This guide covers all the ways you can share your dashboards securely and effectively.
Share with Team Members
Section titled “Share with Team Members”The easiest way to share dashboards is with your team members who already have Querri access.
Adding Team Members to a Dashboard
Section titled “Adding Team Members to a Dashboard”- Open your dashboard: Navigate to the dashboard you want to share
- Click the Share button: Find the share icon in the top right corner
- Select “Add Team Member”: Choose from your organization’s users
- Set permission level: Choose viewer or editor access
- Send invitation: Team members receive a notification
Permission Levels
Section titled “Permission Levels”Viewer:
- Can view the dashboard
- Can use filters and interactive features
- Can export data and visualizations
- Cannot edit widgets or configuration
- Cannot change sharing settings
Editor:
- All viewer permissions, plus:
- Can add, edit, and remove widgets
- Can modify dashboard configuration
- Can change layout and styling
- Cannot change sharing settings (only owner can)
Owner:
- All editor permissions, plus:
- Can change sharing settings
- Can transfer ownership
- Can delete the dashboard
- Can add and remove collaborators
Managing Team Access
Section titled “Managing Team Access”View current collaborators:
- Open the Share menu
- See a list of all users with access
- View their permission levels
- See when they last viewed the dashboard
Modify permissions:
- Click the dropdown next to a user’s name
- Select a new permission level
- Changes take effect immediately
Remove access:
- Click the “X” next to a user’s name
- Confirm the removal
- User loses access immediately
Public Sharing with Passwords
Section titled “Public Sharing with Passwords”For sharing with external stakeholders who don’t have Querri accounts, use public sharing with password protection.
Creating a Public Share Link
Section titled “Creating a Public Share Link”- Open your dashboard: Navigate to the dashboard to share
- Click Share button: Access the sharing menu
- Enable “Public Access”: Toggle on public sharing
- Set a password: Create a strong password (required for security)
- Copy the share link: Use the provided URL to share
Password Requirements
Section titled “Password Requirements”For security, passwords must:
- Be at least 8 characters long
- Contain at least one number
- Contain at least one special character
- Not be a common password
Example strong password: Dashboard2024!
Public Link Settings
Section titled “Public Link Settings”Customize your public share link:
Expiration Date:
- Set when the link should stop working
- Options: 24 hours, 7 days, 30 days, 90 days, Never
- Default: 30 days for security
View Limits:
- Limit how many times the link can be used
- Useful for controlling distribution
- Track remaining views in the share menu
Allowed Actions:
- View only: Default, safest option
- Allow exports: Let viewers download data
- Allow filters: Let viewers modify filter selections
- Show refresh button: Allow manual data refresh
Managing Public Links
Section titled “Managing Public Links”View active links:
- Go to Dashboard Settings
- Click “Share Links”
- See all active public links
Monitor usage:
- See how many views each link has received
- Check last access time
- View geographical distribution (if enabled)
Revoke a link:
- Find the link in the share menu
- Click “Revoke”
- Confirm revocation
- Link immediately stops working
Share Link Management
Section titled “Share Link Management”Effective share link management keeps your data secure while maintaining accessibility.
Organizing Share Links
Section titled “Organizing Share Links”Naming conventions:
[Recipient]-[Purpose]-[Date]Examples:- Client-XYZ-Q1-Report-2024-01- Marketing-Team-Weekly-2024-01- Board-Meeting-2024-01-15Adding descriptions:
- Note who the link is for
- Record why it was created
- Include any special instructions
Security Best Practices
Section titled “Security Best Practices”- Use strong passwords: Never use simple or guessable passwords
- Set expiration dates: Don’t create permanent public links
- Regular audits: Review active links monthly
- Revoke unused links: Remove links that are no longer needed
- Monitor access: Check for unusual viewing patterns
- Limit exports: Only allow data exports when necessary
Tracking Link Access
Section titled “Tracking Link Access”Monitor basic access to your shared dashboards:
- Access count: See how many times a link has been used
- Last accessed: Know when someone last viewed via the link
Version History
Section titled “Version History”Dashboards support undo and redo functionality:
- Undo: Revert recent changes to your dashboard layout
- Redo: Restore changes you’ve undone
This helps you experiment with layouts without losing your work.
Sharing Checklist
Section titled “Sharing Checklist”Before sharing a dashboard, verify:
- Dashboard displays correctly for viewers
- Sensitive data is filtered or removed
- Appropriate permission level is set
- Password is strong (for public links)
- Expiration date is set (for public links)
- Recipients understand how to access the dashboard
- Export settings match your intent
- Compliance requirements are met
- Link description and notes are complete
Troubleshooting Sharing Issues
Section titled “Troubleshooting Sharing Issues”Common Problems
Section titled “Common Problems”“Link not working”:
- Check if the link has expired
- Verify the password is correct
- Confirm the link hasn’t been revoked
- Try regenerating the link
“Permission denied”:
- Verify the user has the correct role
- Check if their access was removed
- Ensure they’re logged in (for team sharing)
“Dashboard not loading”:
- Check dashboard refresh settings
- Verify data source connections
- Test on a different browser
- Check browser console for errors
“Can’t export data”:
- Confirm export permissions are enabled
- Check browser popup blockers
- Verify file size isn’t too large
