QuickBooks Online

Connect Querri to QuickBooks Online and ask questions about your invoices, customers, payments and financial reports in plain language.

The QuickBooks Online connector signs in with Intuit and copies your accounting data into Querri’s own storage. Querri answers from that copy, so it’s as fresh as the last sync.

It loads 31 kinds of QuickBooks records, such as invoices, customers and payments, and 12 QuickBooks reports, such as Profit and Loss and Balance Sheet.

  • A QuickBooks Online company you can sign in to
  • Pop-ups allowed for Querri, since Intuit’s sign-in opens in its own window
  1. Click Connect in the app rail to open Add data, and pick QuickBooks Online. Admins can also click Connect on it in Settings → Connectors.
  2. Intuit’s sign-in window opens. Sign in and approve access. If Intuit asks which company to connect, pick one.
  3. There’s nothing more to set up. The connector lands in the workspace you’re in if you’re a member of it, or in your private workspace otherwise.
  4. Check that data loaded. Click the connector under Connectors in the Library’s browse panel. If it says the connector “is connected, but no data has loaded yet”, click Load data now to run a full sync. Only the connector’s owner can start a load.

Each connector reads one company. To add another, use the add-another icon on the QuickBooks card in Settings → Connectors (see Managing Connections).

Open the connector to see its Configuration tab:

Change a setting, then click Update to save it. Pressing Enter in the dialog saves it too.

Once data has loaded, its records and reports are sources in your Library. Ask about them as you would any other source:

  • “Which customers have invoices more than 30 days overdue?”
  • “Show total invoiced by month this year.”
  • “How did revenue this quarter compare with last quarter?”

Answers come from the loaded data, so anything older than the Data History Period isn’t included.

The connector’s owner can schedule refreshes on its Schedule tab. Use Full Refresh, which reloads everything, reports included. Every Day or Every Week suits most companies. QuickBooks schedules must run at least one hour apart.

Scheduled syncs use credits when they run. Syncs you start by hand don’t. See Sync Scheduling.

Sign-in fails or the window doesn’t open

  1. Allow pop-ups for Querri.
  2. Check that you can sign in to the company in QuickBooks itself.
  3. Click Connect again.

Click the connector under Connectors in the Library’s browse panel. If it says no data has loaded yet, the connector’s owner can click Load data now.

Open the connector and click Reauthenticate. Don’t disconnect it: disconnecting deletes the data it synced.

  1. Open the Schedule tab. If it says Schedule Paused, or that the schedule was auto-disabled after failures, fix the cause and switch it back on.
  2. If there’s no schedule, create a Full Refresh schedule.
  3. Check that the connector hasn’t lost its sign-in (see above).

The connector only loads the Data History Period, which is 3 years unless you change it. Raise it on the Configuration tab, click Update, then wait for the next full refresh.

Check Accounting Method. Accrual and Cash give different income and expense totals, so match the method you use in QuickBooks.

  • You sign in on Intuit’s own page, so Querri never sees your QuickBooks password.
  • Sign-in tokens are kept out of logs and out of the browser.
  • Synced data is stored in Querri. Disconnecting deletes it.
  1. In Querri, open the connector and click Disconnect, followed by its name. Once you confirm, Querri deletes the connector and the data it synced.
  2. In QuickBooks, remove Querri from your connected apps.
